City Secretary Job Description Summary:   All applicants must be highly proficient in usage of a computer, including communicating via e-mail, using spreadsheets, and basic word processing. The ability to promptly respond to constituent inquiries regarding City operations and comply with the Texas Open Meetings Act and the Texas Open Records Act. The ability to interact in a professional manner with local, state, and federal agencies. The ability to promptly communicate with City Council, Mayor, and other parties.

                Clerical: Answer phones, respond to messages, handle mail correspondence, file required annual reports, audits and accountability statements.  Post all required notices in the newspaper and maintain the website. Order office supplies. Work with the Mayor to assist with routine city activities. 

                Recordkeeping: File all records, handle open records requests, receipting for copies sold. Issue permits and store records following the Records Management Policy Manual for the City of Gholson. 

                Accounts Payable: Scan invoices received to city accounting firm and mail out payments. Maintain a handwritten checkbook for the City of Gholson.

                Council Meetings:  Work with the Mayor and City Attorney to organize and prepare for City Council meetings. Maintain a calendar of meetings, prepare agendas, prepare packets for all stakeholders attending Council meetings. Post the agendas on the City Hall bulletin board and the website.

                Budget Management: Prepare budget calendar and set up meetings leading up to the Budget and Tax Rate approval.

                City Hall Maintenance- Responsible for maintaining the cleanliness of city hall, address maintenance issues, and order necessary supplies.
